Introduction: The Invisible Gatekeeper
Before your CV reaches a human recruiter, it must first pass through an Applicant Tracking System (ATS). These software systems automatically scan, parse, and rank CVs based on keywords, formatting, and relevance. In Saudi Arabia, over 75% of large companies use ATS, including Aramco, SABIC, STC, and major banks.
How ATS Systems Work
Parsing Your CV
When you submit your CV, the ATS extracts text and categorizes it into fields: name, contact info, work experience, education, skills. If your formatting confuses the parser, critical information may be lost or misclassified.
Keyword Matching
The ATS compares your CV against the job description. It looks for specific keywords — job titles, skills, certifications, tools, and industry terms. CVs are scored based on keyword match percentage. Typically, only the top 25% of scored CVs reach a human reviewer.
Ranking Candidates
ATS systems rank candidates based on multiple factors: keyword match score, years of experience, education level, and location. Some advanced systems even analyze the context of keywords, not just their presence.
ATS-Friendly Formatting Rules
File Format
Submit as PDF unless the job posting specifically requests Word format. Modern ATS systems handle PDFs well, and PDF preserves your formatting across devices.
Layout Structure
Use a single-column layout. Avoid two-column designs, sidebars, or creative layouts. ATS reads left-to-right, top-to-bottom. Complex layouts confuse the parser.
Section Headings
Use standard headings: "Work Experience" (not "My Journey"), "Education" (not "Academic Background"), "Skills" (not "What I'm Good At"). ATS systems are programmed to recognize standard headings.
Fonts and Styling

Stick to standard fonts: Calibri, Arial, Times New Roman, Garamond. Use 10-12pt for body text, 14-16pt for headings. Bold and italic are fine, but avoid underlining (it can interfere with parsing).
What to Avoid
Tables, text boxes, headers/footers (ATS often can't read these), images, logos, icons, graphs, columns, and custom bullet points. Use simple round bullets or hyphens.
Keyword Optimization Strategy
Analyze the Job Description
Read the job posting carefully. Highlight required skills, qualifications, tools, and certifications. Note the exact terminology used — if they say "project management," don't write "managing projects."
Strategic Keyword Placement
Include keywords in your professional summary, work experience bullet points, and skills section. Don't just list them — use them in context. "Led cross-functional project management initiatives using Agile methodology" is better than just listing "Project Management, Agile."
Industry-Specific Terms
Include industry jargon and acronyms relevant to your field. For IT: specific programming languages, frameworks, tools. For finance: regulatory knowledge, software systems. For healthcare: certifications, specializations.
Testing Your CV
Free ATS Scanners
Use tools like Jobscan, ResumeWorded, or TopResume's free scanner to test your CV against specific job descriptions. These tools show your match score and suggest improvements.
The Copy-Paste Test
Copy your CV text and paste it into a plain text editor (Notepad). If the text appears jumbled, out of order, or missing sections, your formatting isn't ATS-friendly.
